1. Create an account
Takes about a minute. Sign up on the rooland.com.vn marketplace with the Sign up button at the top.
Option 1: email and phone number
- Pick the account type: Individual or Business.Individual is for finding a place to rent or buy. Business is for agencies or teams with several staff, and goes straight to the property management portal.
- Fill in your name, phone number, email and password. Both the phone number and the email are required. The password needs at least 6 characters; there is a button that generates a strong one for you. Business accounts must also give the company name and tax code; Individual accounts may leave the tax code blank.
- Own property to manage? Tick "I am a property owner who needs to manage properties".This unlocks the management portal (rentals, invoices, listings) for an Individual account. Without it the account is for browsing, saving and comparing listings. Business accounts always get the management portal.
- Tick the personal-data consent box, pass the anti-spam check, then click Create account. You are signed in right away, with no confirmation email to wait for. Property owner accounts go straight to the management portal to start adding properties.
Option 2: Google, Zalo or Facebook
- Click Sign up with Google, Sign up with Zalo or Sign up with Facebook, then approve on that service’s screen.
- The first time there is one extra step, "One more step".You add your phone number. With Zalo you also type your email, because Zalo does not share one. With Facebook the email is pre-filled and can be edited.
- On the marketplace, pick "Tôi có nhà cho thuê, cần quản lý" (I have homes to let and manage) if you are a landlord.Picking "Tìm nhà để thuê hoặc mua" (looking to rent or buy) gives you a guest account. Starting from the management portal gives you the management side straight away.
- Tick the consent box and click Finish.
Created a guest account and now want to post or manage homes? Sign in on the marketplace, click + Đăng tin (Post a listing) and choose Nâng cấp & đăng tin (Upgrade & post). The account is upgraded and your saved listings stay, so there is no need for a second account.
2. Signing in, passwords and linked accounts
One account, several ways in. This section makes sure you never get locked out.
Signing in
- The account box accepts either your email or your phone number. Use whichever you remember.
- Or click Continue with Google, Continue with Zalo or Continue with Facebook if your account is linked to that service.
- After signing in you are taken back to the page you were on.
Accounts created with Google, Zalo or Facebook: create a password
- Open Account settings (click your account name at the top right).
- Under Create a password, enter a new password and click Create password. From then on you can also sign in with email and password, in case Google, Zalo or Facebook is unavailable.
Link or unlink Google, Zalo, Facebook
- Open Account settings and find Sign-in links.
- Click Link next to the service and approve on its screen.A Google, Zalo or Facebook account already linked to someone else cannot be linked again.
- To stop using one, click Unlink. An account without a password must keep at least one link, or create a password first.
Changing your password and sessions
- Change it under Account settings, Change password: enter the current and the new password (at least 6 characters). The device you are using stays signed in; only other devices are signed out.
- Forgot it? Use Forgot your password? on the sign-in screen (see When something goes wrong). Resetting this way signs out every device.
- After a long idle period, or right after the password was changed on another device, you will see "Your session has ended". Just sign in again; nothing is wrong with the account.
3. Find your way around
Rooland has two areas. Once you know which one you are in, everything else is easy.
| Area | What it is for |
|---|
| Marketplace | The public side. Anyone can browse listings, projects and articles. This is where your customers see your listings. |
| Management app | The private area for property owners: properties, contracts, invoices, tenants, settlements, tax report, listings, projects. Nobody else can see it. |
Inside the management app, the left sidebar is grouped like this:
- Overview — Dashboard, User guide
- Property management — Properties, Property owners, Contracts, Tenants, Monthly invoices, Owner settlements, Tax report, Sold properties
- Marketplace — Post a listing, My listings, My exchange, Project sites
- Tools — AI valuation, ROI / payback
- Add-on services — Moving service, Bank loan, Property insurance, Interior & repair (collapsed by default; click the group name to open it)
Controls worth knowing
- Dashboard: units rented, vacant and for sale, revenue for the period, and a To do box (overdue invoices, draft invoices still missing readings, contracts expiring within 30 days).
- The small i next to the screen title: click it to read what the screen is for.
- The arrow next to the logo: Collapse menu into an icon strip for more room, click again to Expand menu. Each menu group can also be folded or opened.
- Top bar: the Vietnamese / English switch (saved to your account), the Notifications bell with your to-do list, and the account menu with Account settings, Open Marketplace and Log out.
- Rooland assistant at the bottom right: ask in plain words about your own data — contracts, invoices and receivables, properties, tenants, owner settlements. For example: "How much came in this month, who has not paid?". The chat window has a Report a bug / Support button to send a request with screenshots.
On a phone the menu sits behind the ☰ Menu button at the top of the page. Every step in this guide can be done from a phone.
4. Add your first property
This is the root of everything. Contracts, invoices and listings all attach to a property.
- Open Properties and click + Add property.
- Classification: pick the property type and set a display name.Units in the same building can be grouped under a building with a unit code, so later you can invoice the whole building in one go.
- Enter the address.Pick the province and ward, then type the house number and street. An exact address makes the price suggestion and the tax report more accurate.
- Fill in the features: floor area, rooms and other details.Required: property type, display name, address, area and management type. Everything else can be added later.
- Pick the management type.Owned (your own asset), Managed (collect on behalf and earn a fee — add the owner and the management fee %), or Sublease (add the owner and the base rent you pay them each month).
- Click Save property. The system opens the detail page of the unit you just created.
- Upload photos and videos on the detail page.Drag and drop, paste (Ctrl+V) or click + Add photo to pick several at once, up to 8MB each (JPG, PNG, WebP, GIF). You can also add 360° room photos, uploaded videos (up to 60MB each) or YouTube / TikTok / Vimeo links. Click Save changes when done.
The property you just added is visible only to you. It does not appear on the marketplace and nobody can find it. Your information goes public only when you create a listing.
Already have a list in Excel? The Properties page has an Import CSV button. Download the template, fill in the columns, save as .csv and upload. Run the preview check first so the system flags any bad rows, then run the real import.
5. Tenants
Your tenant address book, for picking quickly when you draw up a contract.
- Open Tenants and click + Add tenant.
- Enter the full name and phone number — both are required.Choose Individual or Business. Business tenants also take a company name and tax code.
- The ID document (ID card or passport) and its number are optional. An ID card number must be exactly 12 digits. Document numbers are encrypted before storage; even someone with database access cannot read them.
- Click Add.
Click a tenant’s name to see their profile: units rented now and before, their contracts, and totals paid, unpaid and overdue.
You do not have to add the tenant first. When creating a contract, choose + Enter new tenant to type them in right inside the form.
6. Tenancy contracts
Once a contract exists in the system, invoices can be generated every cycle.
Create a contract
- Open Contracts and click + New contract.
- Select the property and the tenant. If the unit has a live rental listing, rent, deposit and utility prices are pre-filled from it. You can change them; editing here does not change the listing.
- Enter the terms: start date, end date, monthly rent, deposit.
- Set the Monthly collection day, the payment due days and the Payment cycle.Cycles are Monthly, Quarterly, Every 6 months and Yearly. Auto-generate invoices each cycle is on by default; turn it off if you collect manually and need no invoice.
- Utilities: tick Add electricity to invoice and Add water to invoice, then enter the unit prices and the initial readings. This is the step most often skipped, and the reason first invoices most often come out wrong. Record the readings at handover, do not rely on memory later.
- Fixed monthly fees: click + Add fixed fee for management, parking, internet, refuse…These are added to every future invoice automatically.
- Click Create contract if it is signed, or Save draft if you are still preparing it to print and sign.
Attach and print the contract
- Attach contract: photograph each page of the paper contract, or pick photos or files already on your device. Up to 20 files per contract, 10MB each; images are compressed automatically while staying readable. You can pick them while creating the contract; they are attached once it is saved.
- No paper contract yet? In the contract details, use the print button to generate a complete contract to print and sign.
Contract statuses
| Status | What it means | Button in the actions column |
|---|
| Draft | Being prepared, not signed. The unit is not held yet. | Confirm signed |
| Upcoming | Signed, move-in date not reached. The unit shows as Upcoming rental. | Cancel contract |
| Active | The tenant lives there. The unit shows as Rented. | End contract |
| Expired | Past the end date on paper, but move-out has not been processed. | End contract |
| Cancelled | Cancelled before move-in, with a cancellation form. | View cancellation |
| Terminated | Moved out, with a handover record. | View handover |
Click Confirm signed on a draft once both sides have signed in real life. From then on the unit is held for the tenant and the contract can no longer be freely deleted. Upcoming, Active and Expired are switched automatically by date.
Editing and change history
A signed contract can still be edited, but the system asks first and logs who changed what and when. Open the contract details, find Change history and click View history to see a Field · Before · After table. Cancelled and terminated contracts are closed and can no longer be edited.
When a contract can be deleted
- Drafts: delete freely.
- Signed contracts with no invoices yet: can be deleted after a confirmation. If active, the unit goes back to Vacant.
- Contracts with invoices, a cancellation form or a handover record: cannot be deleted, because they are records. Use End contract or Cancel contract instead (section 9).
7. Record meter readings
Once a cycle, about two minutes per unit.
- Open Monthly invoices and click Generate invoices for this period. The system creates a draft invoice for every active contract with automatic invoicing on. For a single unit, click + Add single invoice instead.
- On the invoice row for that unit, click Enter readings.
- Enter the new meter reading. The previous reading is carried over automatically, so you do not have to remember it. The system takes the difference and multiplies by the rate in the contract — the rate is locked to the contract and cannot be changed on the invoice. A new reading lower than the previous one raises a warning.
- Attach a meter photo (recommended).Right below the new reading box on the electricity and water rows there is an Add meter photo button. Taking a photo on the spot and picking one already on your device both work — including a photo the tenant sent you over Zalo. One photo per meter; picking another replaces it. Photos are dated and kept per period, which is what saves you when a tenant questions the bill at the end of the period.
- If a "Photo reads: ..." hint appears, check it, then click Use this. After a photo is attached the system tries to read the number and offers it back. It never fills the box for you — the value only changes when you click, so anything you already typed is never overwritten. If nothing can be read, just type it in. Blurry photos come with a reminder to double-check; the red digits on an electricity meter are decimals and are left out of the reading.
- Add any other charge with + Add item.Fixed fees set in the contract are already there.
- Check the total, then click Save draft or Save & issue.
Once an invoice is issued its readings can no longer be edited, because the system has assigned an official invoice number — the meter photos are locked along with them, so they keep their value as evidence. If you are unsure, save it as a draft first.
Besides the warning when a new reading is lower than the previous one, the system also flags consumption several times higher than the usual level for that unit. Most of the time this means an extra digit was typed by mistake. If usage really was that high, just save as normal — this is a reminder, not an error.
8. Invoices and receivables
Know exactly who has paid, who still owes, and since which period.
The life of an invoice
Flow: Draft → Enter readings → Issue → Collect.
| Status | What it means | What to do |
|---|
| Draft | Created but not issued. Freely editable. | Enter readings, then issue |
| Issued (unpaid) | Numbers locked, invoice number assigned, printable for the tenant. | Wait for payment |
| Overdue | Issued, past the due date and not yet collected. | Send a reminder |
| Paid | You confirmed that the money arrived. | Done |
When the tenant pays
- On the invoice row, click Collect.
- Pick the method: Cash or Bank transfer.
- Click Confirm collected. The full invoice amount is recorded as paid, dated the moment you click.
Partial payments cannot be recorded yet. If the tenant has paid only part, leave the invoice unpaid and click Collect once the full amount is in.
Contracts paid quarterly, every 6 months or yearly
The system issues one combined invoice for the whole cycle, and the rent column shows the number of months. The invoice period is the first month of the cycle, so Generate invoices for this period only creates invoices for contracts whose cycle starts that month. To fill in a missed period, use + Add single invoice.
Deleting invoices
Draft, issued and overdue invoices can be deleted. Paid invoices cannot — the delete button is locked with the reason shown.
The system emails you (the account holder) when an invoice is 3 days from its due date, and when it is 1, 7 and 15 days overdue, in the morning. Turn this on or off under Account settings, Email notifications, Remind me when rent is due each month. Items needing attention also show on the Dashboard and in the Notifications bell.
9. Ending or cancelling a contract
If the tenant lived there, make a handover record. If they never moved in, make a cancellation form.
Move-out: handover record and deposit settlement
- On an Active or Expired contract, click End contract. The handover record opens.
- Handover: move-out date, reason, condition of the home and condition photos.Write down what both sides can see. Dated photos are the main evidence in a deposit dispute.
- Final meter readings: enter them and click Save readings. These readings go straight into the final invoice. If the final period has no invoice yet, the system creates it.
- Deposit settlement: click Add item under Tenant pays — deducted from deposit or Landlord adds. Each item can be an amount or a % of the deposit. Unpaid invoices are filled in automatically. The bottom line shows TO REFUND THE TENANT or TENANT STILL OWES.
- Click Save draft if you are not done, or Finalise & print to lock it and print for both sides to sign.In the confirmation, keep the option to end the contract and set the unit back to Vacant if you want to close the contract now.
- Once the deposit has actually changed hands, click Deposit refunded (or Extra collected).Only then does it appear in Owner settlements, and the record is locked for good.
Need to change an amount on a finalised record? Click Reopen, edit, then Finalise & print again — the printed copy is void. Reopening is only possible before the deposit is settled; after that both sides sign an adjustment note.
Tenant changes their mind before move-in: cancellation form
- On an Upcoming contract, click Cancel contract. There is nothing to hand over: no meter readings, no final invoice. Only the deposit is left to settle.
- Enter the Cancellation date and the Reason.
- If no deposit was paid, tick Deposit never received — nothing to settle. Otherwise list the items under Deposit settlement.
- Click Cancel contract & print, then confirm. The contract becomes Cancelled and the unit goes back to Vacant right away, ready to let again.
A cancellation cannot be undone. If the tenant comes back, sign a new contract. The cancellation form itself can still be reopened to fix amounts (before settlement), but the contract stays Cancelled.
10. Settling up with the owner
For those who manage homes on behalf of an owner, or lease a property and sublet it.
- Open Property owners and click + Add owner.Enter the name, type (individual, household business, company), tax code, phone or email, and the bank details for payouts. The bank account number is encrypted before storage, same as the ID number.
- Link the owner to the property. In the property profile, choose Managed (with the management fee %) or Sublease (with the base rent paid to the owner each month). Or, from the owner’s page, link several existing units at once.
- At period end, open Owner settlements and pick the period.Managed table: rent collected minus the management fee gives the net paid to the owner. Sublease table: collected from tenants, fixed payment to the owner, and your margin. Deposits settled in the period are listed too.
- Click View statement for each owner’s details, and Print statement to send it to them.
- Once you have paid, open the owner’s page and click + Record payout.Enter the amount, method, payout date and a reference if any. Payouts are kept under Payout history for reconciliation.
The printed statement lists each unit, the rent, the management fee, deductions and the amount actually paid. Every figure is laid out, so you are not re-explaining the same thing every month.
11. Rental income tax report
Per-unit figures to file on the eTax Mobile app. Rooland does not calculate tax — the tax app does.
- Open Tax report.
- Pick the Year, the Period (first half, second half or full year) and the Taxpayer.
- Read the warnings at the top before filing. For example: draft invoices in the period are not counted, some contract months have no invoice yet, an address uses the old administrative boundaries.
- Open eTax Mobile and copy each field in the order the app asks.Every field has a Copy or Copy number button, one tap each. For a first-time filing, turn on Show first-time filing details (location).
- Click Export Excel to download the file in the 01/BĐS form for your records.
- Revenue counts rent only, not utilities. Issued but unpaid invoices are still counted; drafts are not.
- Only units managed on Rooland are included. If you let other homes, add them in the tax app — all units must be declared in one filing.
- Business accounts only report for consigned (managed) owners. Managed units without an owner assigned are not in any report.
These figures support your filing; they do not replace the tax office’s guidance. When in doubt, ask the tax office where the property is located.
12. Selling a property and sold history
A sold unit leaves your management list, but its old contracts and invoices stay searchable.
- Open the property detail page and click Mark as sold.
- Enter the Sale date and the Actual sale price, then click Confirm sold. The property moves to Sold properties. Its marketplace listing (if any) is taken down automatically.
Not selling, just no longer managing it (handed back to the owner, management agreement ended…)? Use Stop managing. The system first shows what is affected: active contracts will be terminated, live listings taken down. Units you stop managing sit under a separate tab in Sold properties and can be brought back with Resume managing at any time.
A unit marked as sold cannot be brought back under management. If you are not sure, use Stop managing.
13. AI price suggestion and ROI
Use it when you need a reference figure before negotiating or listing.
AI valuation
- Open AI valuation, tab AI price suggestion.
- Pick a property already in your list, or enter the address and details. You can add criteria such as close to a school, a market or a hospital to sharpen the result.
- Click Valuate Rent & Sale, then wait a few seconds.
- Read the result.A reference sale range and rent range based on comparable listings in the area, with a Government land price (reference) block as a benchmark. When data is thin, the system says why, so you know how far to trust it.
The Price check history tab keeps every lookup across your whole portfolio, so you can reopen any of them later.
An AI valuation is a reference figure, not a legally valid appraisal certificate. For large transactions or a bank loan file, you still need an independent appraiser.
ROI / payback
Enter the initial capital, the rent you pay each month (if you sublease), rental revenue at 100% occupancy, the occupancy rate, operating costs and the operating period. The system works out real revenue, net profit per month, payback period, ROI per year, and a comparison table across occupancy levels. It is a reference tool and does not account for inflation, tax or other incidental costs.
14. Listings and their life cycle
Only at this step does your information become public.
Post a listing
Open Post a listing. The form runs through four steps shown across the top of the page.
- Choose property & content.Pick the property (photos, area and address come from its profile), For rent or For sale, the asking price, the contact name and phone to display, the title and the description. Organisations with their own marketplace also choose which exchange to post to. A good title carries the type, the area and the district — for example: 2-bedroom apartment, 68 sqm, Binh Thanh, fully furnished.
- Choose package. Each package shows its display days and fee. The actual charge appears as the total on the next step; Rooland is not charging listing fees at the moment, so the total is 0đ. Click See full price list for the full price table on the marketplace.
- Confirm & submit for review.Tick the box agreeing to show your name & phone number, check everything, then submit.
- Pending review. An administrator reviews the listing before it goes live. Track the status under My listings.
The contact name and phone number are shown publicly on the listing so that interested buyers can reach you, exactly as covered by the consent box you tick before submitting.
Listing statuses
| Status | What it means |
|---|
| Pending review | Submitted, waiting for an administrator. |
| Visible | Live on the marketplace. Click the title to open it there. |
| Rejected | Not approved, with the rejection reason. |
| Hidden | You hid it for now; it is not shown on the marketplace. |
| Expired | The package days have run out. |
| Closed | You ended the listing for good. |
| Removed | Taken down by an administrator for a violation. |
What you can do under My listings
- Rejected: click Edit & resubmit, read the reason, fix it and click Resubmit. The listing keeps its code, link and view count.
- Editing a live listing: choose Edit listing in the ⋯ menu, edit, then click Submit for review. The listing leaves the marketplace until it is approved again; its remaining days are kept and you are not charged again. The property, transaction type and package cannot change — post a new listing for that.
- Bump: moves a live listing to the top of the marketplace. Each listing can be bumped once per hour.
- Hide and show again: only live listings can be hidden. A hidden listing past its expiry must be renewed before it can show again.
- Renew: available when a listing is about to expire or has expired. Pick a package; if time is left, the new days are added to the current expiry, otherwise they count from today.
- Close listing: only for expired listings, and it cannot be undone. The property goes back to having no listing, and you can post a new one at any time.
Each property can have at most one rental and one sale listing running at the same time. Marking a unit as sold or stopping management takes its listings down automatically, but the property stays in your management area.
15. Build a project page
A dedicated page for each project or sales launch, with an enquiry form.
- Open Project sites, click + Create project, enter the project name.A project page belongs to a marketplace, so create yours under My exchange first. The public link, /du-an/project-name, is generated from the name and can be edited afterwards.
- In the Page content tab, fill in the general details and the top of the page. Background image, tagline, call-to-action button text, hotline, email. There is a Custom domain field if the page should run on the project’s own domain.
- Add content with + Add section and pick a content type.Paragraph, List, Card list, Tag list, Two-column table, Timeline, Photo gallery, Floor plans / unit types (cards with photo, name, area, price), Location + map, Video (uploaded or a YouTube / TikTok / Vimeo link).
- Reorder with the ▲▼ buttons. For each section you can choose whether it appears in the menu, whether it has a call-to-action button, and its colour. Click the eye to hide a section temporarily. Empty sections are not shown on the page.
- Search & sharing (SEO): leaving it blank is fine. The system uses the project name, the introduction and the cover image. Only fill in the Google title, Google description and link-sharing image if you want them to differ. Tick Keep this page out of Google if the page is only for ads or for a client to review first.
- Switch to 👁 Preview to see the page at Desktop and Phone widths.
- Click Save draft, then Publish to take the page public.Once published, the save button reads Save changes. To pull it back temporarily, click Unpublish; the content stays intact. To delete a project, unpublish it first.
Prospects leave a name and phone number in the enquiry form on the page. It lands directly in the project Sign-ups tab rather than getting lost in chat threads. On the public page, visitors click a photo to open the full-screen photo viewer.
16. Your own branded marketplace
A property site of your own, where visitors see only your brand and your listings.
- Open My exchange. If you do not have an organisation yet, enter its name and click + Create organisation.
- In Marketplace branding, set the Display name, upload a Logo, pick the Primary colour, add a Hotline, a Hero image and an introduction.
- Choose the web address.Your marketplace comes with its own subdomain address. To run it on your own domain, fill in Custom domain and point your DNS at the system.
- Tick Enable the marketplace, then click Save branding. The site is public immediately, no developer needed. Use the open button to view it.
Your branded site shares the same data as your management account. Live listings of yours and of your organisation members appear there automatically, and still appear on the Rooland marketplace — publish once, with no double entry.
17. Members and permissions
For when several staff post listings on the same marketplace.
Still on the My exchange screen, scroll down to the Members section.
- Enter the email of the person to invite, pick Manager or Listing agent, then click Invite.People who already have an account get an invitation; others get an email inviting them to sign up. Invitations nobody has accepted sit under Pending invitations with their expiry date, and can be revoked with Revoke invitation.
- Review each person’s role in the Members table.
| Role | What they can do |
|---|
| Owner | Full control: edit the marketplace branding, invite members, and the only role that can remove members. |
| Manager | Edit the marketplace branding, invite members, revoke invitations. Cannot remove members. |
| Listing agent | Publish listings and view the member list. Cannot edit the branding or invite anyone. |
Remove from organisation ends that person’s access to the organisation immediately, but the data they entered stays intact.
18. Search and filters
You do not need an account to search and view listings.
- On the marketplace home page, choose Mua bán (buy) or Cho thuê (rent), type an area and search.
- Narrow down with the quick filters: property type, price, area, bedrooms. Each has its own clear and apply buttons. The apply button shows the number of listings first, such as Xem 120 tin (see 120 listings), so you know whether it is worth clicking.
- For a finer search, open the full filter panel (Bộ lọc).It adds area down to the ward, bathrooms, floors, house direction, legal papers, year built, furnishing, balcony direction, amenities, and other filters: with photos, with video, verified listings, posted by owner or by broker. Apply to see results, reset to clear everything.
Filters are kept in the page address, so copying the link into Zalo shows the recipient exactly the list you are looking at. To browse by location, use the category pages for homes for sale and homes for rent, split by province and property type.
19. Viewing, saving and comparing listings
Look closely at one home, keep the ones you like, and line them up side by side.
Photos and contacting the poster
- Click a photo to open the photo viewer. On a phone: pinch to zoom, swipe sideways to change photo, swipe up or down to close. On a computer: double-click or use the mouse wheel to zoom.
- Listings with 360° photos can be dragged to look around the room. Listings with video play right on the page.
- Contacting the poster: you need to sign in to see the phone number. Once signed in, reveal the number, then tap to call directly.
Saved listings
- Click the heart icon on a listing to save it. You need to be signed in; saved listings follow your account, so they show on any device.
- See them again on the saved-listings page (the heart at the top of the page, with a count).
- Unsaving from that page removes the listing from the list and shows a bar with an Undo button, in case you clicked by mistake.
Compare
- Click Add to compare on a listing. Pick up to 4; the comparison tray appears at the bottom of the screen.
- Open the comparison page from the tray: the listings sit side by side and rows that differ are shaded so they stand out. Clear all to start over.
- The comparison list is stored in the browser you are using. No sign-in needed, and it does not follow you to other devices.
20. Ask the assistant
Not sure where to start filtering? Just ask in plain words.
- Click the Rooland assistant button at the bottom right of the marketplace.
- Type what you need as if talking, for example: 2-bedroom apartment in District 7, 3 billion. If the area is missing, the assistant asks. On a page with filters applied, it already knows what you are filtering for.
- Read the suggestions and click a listing to see the details.
To start over, click the bin icon to clear the chat history. If something breaks, use the Report a bug / Support button inside the chat window.
The assistant only suggests from listings currently on the marketplace. Always confirm price, legal status and condition directly with the poster before deciding.
21. Settings, privacy and your data
Every account option lives in Account settings (click your account name at the top).
Notifications
- Email notifications: three boxes, Remind me when rent is due each month, Listing about to expire, Contract about to expire. Untick any you do not want.
- Push notifications (browser): turn them on to be alerted in the browser when your service requests (moving, loan, insurance, interiors) are updated. This is set per device.
Other settings
Display language, name, phone, company name, tax code, profile photo, and What role do you post as? (owner or broker — shown on your listings so seekers know who they are dealing with). The sign-in email cannot be changed.
My data and closing your account
- Under Account settings, the My data section lets you download all your data.
- Close account: re-enter your password (Google accounts leave it blank but must have just signed in again), type the word ĐÓNG, then click Close account.
- There is a 14-day waiting period. During it, sign in and click Cancel account closure to keep the account as it is. After 14 days your name, email, phone, profile photo and company details are removed for good, and your listings leave the marketplace.
- Invoices and contracts are kept because accounting law requires these records, but they are no longer linked to your name.
Privacy
- Private by default. Properties, contracts, invoices, tenant details — only your account can see them. There is no setting that publishes them automatically.
- You decide when to go public. Information leaves your account only when you create a listing, and at that point the contact name and phone number are shown publicly, exactly as covered by the consent box you tick when posting.
- Sensitive documents are encrypted. ID numbers and bank account numbers are encrypted with AES-256 before being written to the database.
- We do not buy or sell personal data.
- Cookies: on your first visit to the marketplace you choose to accept or decline. To change your mind, use the cookie settings link in the marketplace footer.
22. When something goes wrong
A few common situations and quick fixes.
Forgotten password
On the sign-in screen click Forgot your password? and enter your email. The reset link is valid for 60 minutes and works once. After the reset, every signed-in device is logged out — this is deliberate, to protect you. If the email does not arrive, check spam and promotions.
Signed in but cannot reach the management app

Photo upload fails
Property photos can be up to 8MB each, in JPG, PNG, WebP or GIF. Resize very large phone photos before uploading. On a weak connection, upload one photo at a time rather than a dozen at once.
The invoice total looks wrong
Usually one of three causes: the utility rate in the contract is wrong, the initial meter reading was mistyped, or an extra charge was forgotten. Check the contract rate first, then last period’s reading. While the invoice is still a draft you can edit it directly; if it is issued but unpaid, delete it and recreate it with + Add single invoice.
Generate invoices for this period created nothing
The system tells you why: either the contracts already have an invoice for that period, or no active contract has automatic invoicing turned on. Contracts paid quarterly, every 6 months or yearly only get an invoice in the first month of their cycle.
A contract or invoice cannot be deleted
Contracts with invoices, a cancellation form or a handover record cannot be deleted — use End contract or Cancel contract. Paid invoices cannot be deleted either. A greyed-out button always shows the reason.
My listing was rejected
Open My listings, read the rejection reason and click Edit & resubmit. The listing keeps its code and view count.
I need direct help
Use Report a bug / Support in the Rooland assistant, or email contact@rooland.com.vn. Describe which screen you were on and what you clicked; a screenshot gets it resolved much faster.
Start with one property
You do not need to enter your whole portfolio today. Add one unit, create one contract, see how the system builds the invoice — then decide whether to carry on.
